Job Introduction:

Role Responsibility:

Under supervision, the Human Resources and Benefits Administrator performs a wide range of duties relative to the maintenance and processing of personnel records and reports. This role is also responsible for directing and planning the day-to-day operations of benefit programs (group health, dental, vision, shirt-term and long-term disability, life insurance etc) This role will also provide excellent customer service whilst monitoring benefits administration and support in the delivery of benefits programs.



  • Administer, process, run and disseminate reports for all benefits and Pension (including hiring, termination and all leaves e.g. STD, LTD, EHT, WSIB & Medical, RRSP)
  • Set up, check and verify Benefits and Pension eligibility, as well as review discrepancies, investigate and process adjustments, Advise plan administrators of new, terminating or retiring members, provide updated beneficiary information and all other required information as required
  • Administer and provide analysis of all group health benefits programs
  • Calculate and remit payment of monthly premiums for AD&D, validate premium billings for LTD and basic & optional life insurance on a monthly basis
  • Act as point of contact for employees (new, existing and retirees)
  • Provide benefit program information for new employees, ensuring that completed enrollment forms are received, and enrollments are entered in the system in a timely manner
  • Maintenance of employee Master File records
  • When necessary in departmental projects, run designated reports on system, e.g. Staff Listing, benefits reports, benefits cost reports
  • Reconcile monthly remittances for Pension, billing for benefits , Enter and maintain accurate benefits information, dependent information, extended absences in system as required


  • To align with Group Standards, monthly audit of branch level hourly files to ensure they are entered into C&I. Bring to attention of Branch Manager/DTA any branches that have unusually high outstanding files so assistance can be provided where needed
  • Support in conducting work references for middle management roles – AM, Operations roles, Trainer, Finance Admin levels prior to hiring decisions when necessary
  • Aligning with Group Compliance, reviewing and validating current records both salaried and hourly in order to ensure compliance and also assisting with rectifying discrepancies identified with the records
  • Pre-audit Verification of hourly/salaried files to ensure C&I compliance and hourly  file entry back up-       
  • Completion of CPIC checks for all new salaried hires prior to start date
  • Ad hoc projects as required – process implementation for Bill 7 file transfers, revision of new hire forms to align with company standards and requirements

RECRUITMENT RESEARCH and Branch Support: 15%

  • Research job boards and resume databases for candidates for junior roles
  • Supporting branches with coordinating branch email campaigns
  • Posting of ads for hourly positions on Career Builder
  • Branch support to assist with hourly job postings on ATS as well as screening of resumes from posted jobs
  • ATS applicant screening of resumes for junior roles e.g. call center positions
  • Short term recruiter when branches are short handed
  • Assign job and career fair swag  and send out to various branches as needed
  • Line of contact for branches staff and or recruiters on processes and compliance to standards of interviewing as well as accurate file record keeping
  • Ad hoc recruitment projects as required


  • Initial training of short term and long term recruiters (contractors) on appropriate file format, reviewing checklists for all files.
  • Assisting with ATS and C&I follow up training when needed

The Ideal Candidate:

Formal Education, Licenses and Certifications Required:

  • Completion of a University Degree or College Diploma or equivalent work experience
  • 1-2 years of work experience in an administrative support position
  • Excellent verbal and written communication skills
  • Ability to work with employees at different levels of the organization
  • Attention to detail

Skills Required:
